Connections List

Introduction

The tool Connections List facilitates the management of connections created to communicate with the ApprovalMax Public API.

What are connections?

Connections are a key element of the ApprovalMax Public API and enable applications to interact with the data stored in ApprovalMax. They are created automatically through an authorisation flow during which a token is generated to provide access to the system on behalf of the user. Once the connection has been established, the application can use the generated token to perform authorised API requests. When an Account Owner, Account Manager or Organisation Administrator disconnects a connection, the associated access token becomes inactive and can no longer be used to make API requests – until it is enabled again.

Connections List

Connections List is a web page designed to provide a secure environment for managing connections, which you can temporarily enable or disable – or delete – as needed. This helps to keep all connections up to date and minimises potential security risks.

Restricted access to Connections List

The access to Connections List is strictly limited to Account Owners, Account Managers and Organisation Administrators. This restriction is in place to ensure the confidentiality and security of the data accessed through these connections. Each Administrator can only view and manage their own connections, which ensures a secure and controlled environment for connection management. Account Owners and Account Managers can manage both their own connections and those of their Organisation Administrators.

Accessing the Connections List web page

Follow the link ApprovalMax — cloud approval workflows for finance and accounting and sign in to the system. Log in with with credentials, or via other services (Google, Xero, Intuit).

On the main web page, locate the navigation menu and open Connections List. You will be redirected to a page that provides information about your connections.

The Connections List page shows the following details:

  • Connections Name is the name of the application you created in My Applications
  • Organisations is the total number of Organisations associated with this connection; click on the button to view the list of Organisations
  • Connection Status is the current status of the connection, either enabled or disabled
  • Create Date is the date when the connection was created
  • Action contains the available options to disable/enable/delete a connection as needed

Enable or disable connections via the Connections List web page

To enable or disable a connection, follow these steps:

  1. Find the respective connection on the Connections List web page.
  2. In the Action field, click on the Enable or Disable button, depending on the action you want to perform.

To verify the status change, check the Connection Status field. It should display the updated status. You will also see a pop-up message confirming the successful status change.

To delete a connection, follow these steps:

  1. Move your cursor over the respective connection on the Connections List web page, near the Action field.
  2. Click on the three-dot menu that appears.
  3. Select "Delete" from the context menu.

Deleted connections cannot be restored. Any applications that were using this connection will no longer be able to access the ApprovalMax Public API.
